How do you get out of an ATS auto-renewal, and what should you check before you sign the next contract?

To get out of an ATS renewal, find the notice deadline in your contract today, not the renewal date. Send written non-renewal before that deadline, keep proof it arrived, and export your candidate data. Negotiate afterwards if you might stay. Check the notice clause before you sign the next contract.

This is a practical guide, not legal advice. Your contract wins.

Why is the notice deadline the real deadline?

The renewal date may be months away, but your decision deadline could be much closer. An auto-renewal clause usually sets a separate period during which you must give notice. Missing that window can leave you committed to another term before you've finished reviewing the price, usage, or alternatives.

One HR buyer described the problem in a September 2026 LinkedIn post: "The final straw was being contacted 30 days before renewal to let us know our price was increasing."

The same buyer wrote, "When I said I needed to discuss the increase with my team before agreeing to renew, I was informed that I had to cancel that same day to meet the contractual 30-day notice requirement."

That sequence leaves almost no room for an internal review. Finance needs the revised price. Recruiting needs to assess usage and replacement risk. Legal may need to read the agreement. Your team can lose its choice if those conversations start after the notice deadline.

Here is a labelled example. Suppose your contract renews on December 31 and requires notice 90 days beforehand. Your working deadline falls in early October, not at the end of December. Confirm the exact date and notice method from your own agreement rather than relying on rough calendar math.

How do you find the renewal and notice terms?

Start with the signed order form. Then find the master services agreement, subscription agreement, and any terms incorporated by reference. The renewal rule may appear in one document while the notice address appears in another.

Search the files for terms such as "renewal," "automatic renewal," "term," "termination," "notice," and "fees." Record the exact wording instead of paraphrasing it in an internal message.

Check these details:

  1. The current term's start and end dates.
  2. Whether renewal happens automatically.
  3. The notice period and its calendar deadline.
  4. The required delivery method, such as email, a customer portal, or mailed notice.
  5. The person or address that must receive notice.
  6. Whether the agreement specifies business days or calendar days.
  7. The length of the renewal term.
  8. Any language tying renewal to the vendor's current pricing.

You may have accepted online terms when the original order was signed. If so, identify which version applied at signing and save a copy with the order form. Don't assume the current website version matches the version incorporated into your agreement.

This is also the right time to audit your current ATS contract against invoices, paid modules, seat commitments, and actual use. For a wider cost review, calculate the true cost of an ATS before deciding whether a revised renewal offer works for your team.

How do you send notice of non renewal?

Follow the procedure written in your contract. A note to your account manager may not count if the agreement requires notice through another address or channel.

  1. Identify the required recipient and method. Use the legal notice address, billing contact, portal, or other method named in the agreement.

  2. State the decision plainly. Write that your organization doesn't wish to renew the agreement when its current term ends. Avoid wording that sounds like a request for information.

  3. Identify the account and agreement. Include your legal company name, account number if available, contract date, and current term end date.

  4. Name the effective date. State when service should end according to the agreement.

  5. Request written confirmation. Ask the vendor to confirm receipt, the contract end date, and any remaining exit steps.

  6. Keep proof. Save the sent message, portal confirmation, delivery record, attachments, and the vendor's response in one folder.

  7. Escalate uncertainty. If the deadline, recipient, or clause is disputed, ask qualified counsel to review the contract.

Send notice before you begin a long commercial negotiation when the deadline is close. You can tell the vendor you're open to discussing revised terms without giving up the protection of timely notice. Make clear that any later decision to stay must be documented in writing.

What can you negotiate if you stay?

A timely notice can preserve room to compare the renewal offer with your budget and current hiring needs. If the ATS still works for your team, focus the discussion on terms you can measure and put in writing.

Ask about:

  • A cap or defined method for future renewal increases.
  • Advance notice before a price change.
  • Seat, user, job, or usage minimums that match current needs.
  • A shorter term or a different renewal structure.
  • Written export rights and the available file formats.
  • Access to attachments, notes, and communication history.
  • Support during export and account closure.
  • The date on which access ends after non renewal.

Price matters, but the invoice alone can hide the constraint. A small business software buyer summarized the seat issue as "Just let me pay for the users I've actually got." That comment concerned non-ATS software, but the purchasing principle applies when an ATS quote includes minimum user commitments.

Bring your actual usage to the conversation. Count active recruiters, open jobs, hires, archived records, paid modules, and features your team still uses. Compare the revised proposal with published alternatives using an ATS pricing comparison. Ask the vendor to place every promised concession in the amended order form.

Don't let negotiations consume the time needed for an exit. Run the commercial review and migration preparation in parallel until the renewal decision is signed.

How do you get your candidate data out before the contract ends?

Start the export while you still have full administrator access. Large archives, attachments, and message histories may require separate export steps. A basic candidate spreadsheet may not contain everything your recruiters need after the old account closes.

Inventory the records you need:

  • Candidate profiles and contact details.
  • Resumes and other attachments.
  • Applications linked to jobs.
  • Interview notes and scorecards.
  • Tags, stages, and disposition fields.
  • Consent or communication records you must retain.
  • Email history where the platform permits export.
  • Job descriptions and hiring team assignments.
  • Reports required for internal records.

Ask what file formats are available and whether relationships between records survive the export. A CSV may contain candidate fields but lose attachments or the connection between a candidate, a job, and an interview note.

Open sample records before relying on the export. Check several jobs, stages, attachments, and older profiles. Keep an untouched source copy, then prepare a separate working copy for cleanup or import.

Use the ATS migration guide to plan ownership, field mapping, testing, and the final cutover. Don't wait until the last day of access to discover that files arrive through separate downloads.

What should you check before you sign the next ATS contract?

Read the exit terms while you still have negotiating power. The sales demo tells you how the system starts. The contract tells you what happens when the price changes, your hiring volume falls, or you decide to leave.

Check the next agreement for:

  • The initial term and renewal term.
  • Whether renewal is automatic.
  • The notice window and exact delivery method.
  • Price increase language and notice timing.
  • Minimum seats, jobs, users, or usage.
  • Charges for modules, implementation, support, or data work.
  • Data ownership and export formats.
  • Access to attachments, notes, and communication history.
  • Data retention or deletion after the contract ends.
  • Assistance available during migration.
  • The terms version incorporated into the signed order.

Put the notice deadline on a shared calendar as soon as the agreement is signed. Add earlier reminders for the recruiting owner, finance, procurement, and legal. The first reminder should leave enough time to assess usage, collect an alternative quote, and test an export.

Use these questions to ask an ATS vendor during procurement. The ATS evaluation checklist can keep contract terms, workflow needs, and migration requirements in the same review.

How does Curriculo price?

Curriculo publishes three plans. Starter is free forever. Pro is $50 per month early-bird, which is 50% off the $100 list price. Enterprise pricing is custom. There are no per-seat fees.

Those are pricing facts, not statements about contract length, cancellation, refunds, or renewal terms. Read the applicable terms before signing any ATS agreement, including Curriculo's. You can review Curriculo pricing and start free on Starter.

Frequently asked questions

How do I cancel an ATS contract that auto-renews?

Find the notice clause, calculate the deadline, and use the exact delivery method required by your agreement. State in writing that you don't wish to renew when the current term ends. Include the company, account, contract date, and requested end date. Ask for written confirmation and retain proof of delivery. This is a practical guide, not legal advice. Your contract wins.

How much notice do ATS contracts usually require?

Check your contract because there is no safe default notice period. The agreement should state how early notice must arrive, where to send it, and whether the deadline uses calendar or business days. Work backwards from the renewal date, then have someone else verify the calculation. If the language is unclear or the deadline is disputed, ask qualified counsel to review it.

Can an ATS vendor raise the price at renewal?

That depends on the agreement and any pricing language incorporated into it. Review the order form, master agreement, amendments, and referenced online terms. Look for price adjustment rules, notice requirements, and language referring to current pricing. If you stay, ask for a written price cap or a defined increase method and enough advance notice to review the change.

What happens to my candidate data if I don't renew?

Your access, export options, retention period, and deletion process depend on the vendor and contract. Before access ends, export candidate profiles, resumes, attachments, notes, job records, and available communication history. Test the files and preserve an untouched copy. Ask the vendor to confirm any export deadlines, paid data services, and what happens to remaining records after closure.

Are there ATS options without a long-term contract?

Some vendors publish monthly pricing, but a monthly price doesn't prove that the legal term is month to month. Read the order form and terms for the initial term, auto-renewal clause, notice deadline, and cancellation procedure. Ask the vendor to answer those points in writing before you sign, and make sure the signed agreement matches the sales response.
