Updated October 2026, by Dev Rishi Khare, Founder and CEO, former machine learning engineer at Amazon and Synopsys.

Average time to hire by stage in 2026 is about six days for review, 14 days for interview, and 38 days from application to hire worldwide, according to SmartRecruiters' 2025 benchmarks. The US medians are six, 14, and 35 days. Use the stage table to identify where your process loses time.

What is the average time to hire by stage?

SmartRecruiters' 2025 benchmarks report global medians of 6 days to review, 14 days to interview and 38 days to hire. The US medians are 6, 14 and 35 days. The data covers September 2023 to August 2024, including 89 million applications for 1.5 million jobs across 95 countries.

Ashby's 2026 recruiting operations report measures steps inside the interview stage. Automated scheduling takes a median 3.7 hours, compared with 5 hours for manual scheduling. These figures come from Ashby customer data.

SmartRecruiters doesn't define each stage's starting point in words, so the table keeps the report's labels. The Ashby interview loop covers hired candidates from their first to last interview.

A worked timeline for one hire

Consider an illustrative 10 person company hiring an account manager. The US medians place review at day 6, interview at day 14 and hire at day 35. Those are separate benchmarks, not a prescribed schedule or a Curriculo customer result.

If the team reviews the application on day 1 instead of day 6, it has acted five days earlier on a stage it controls. That arithmetic doesn't prove the final hire will happen five days sooner. Interview availability, assessments, references, approval and the candidate's decision still affect the finish date.

What is the average time to fill by industry?

The latest public SHRM benchmark puts median time to fill for nonexecutive roles at 39 calendar days. SHRM's 2026 research covers more than 4,600 organizations and defines time to fill from job requisition to accepted offer.

Industry splits below are time to hire, not time to fill. SmartRecruiters' system medians range from 25 days in retail to 55 days in manufacturing. Industry refers to the employer's industry, so retail includes office and shop floor roles at retail companies.

Why industry benchmarks disagree

A vendor sponsored iCIMS and Nucleus Research survey of more than 1,000 talent acquisition leaders reports average time to hire of 19 days in healthcare, 19 days in retail and 24 days in finance.

SmartRecruiters reports medians of 41 days for healthcare and 25 days for retail. Neither set automatically makes the other wrong. The sources use different calculations and collection methods.

What is the average time to fill a position in 2026?

The 2026 SHRM benchmark is a median of 39 calendar days to fill a nonexecutive position. In earlier context, SHRM's 2025 report described median time to fill as roughly a month and a half for both executive and nonexecutive roles.

Time to hire starts when a candidate applies or first enters your pipeline and ends when that candidate accepts the offer. Time to fill starts when the job is approved and ends at offer acceptance. It includes work before the candidate enters the pipeline, such as preparing and publishing the job.

What's the average time to hire for small businesses?

For startups with fewer than 25 employees, Ashby's 2026 startup report found that time to hire was almost 30 percent faster when a recruiter was involved. The chart reports an average of 42 days with a recruiter and 62 days without one.

The report covers more than 1,200 venture backed startups, 32,000 hires and 11 million applications. Companies with more than 300 employees were excluded.

Small teams often depend on a founder or manager who reviews applications between other work. On our calls we heard "scheduling is a nightmare", and one recruiter said their coordinator "needs to look at multiple calendars" to book one interview. Another wanted to "just pick a date and a time and just schedule it directly" instead of trading availability by email.

Assign one person to each pending action, set review windows on the calendar and agree on who can approve an offer. Track your own results beside the startup benchmark because role mix and hiring process can move the average.

How interview volume adds to time to hire

Ashby's 2026 operations benchmarks report an interview loop of about 14 days for hired business candidates and about 18 days for hired technical candidates. Interview volume can add calendar dependencies inside that period, so track candidates interviewed per hire separately.

What is the average amount of time between a job interview and receiving a job offer?

SmartRecruiters reports 14 median days to interview and 38 median days to hire worldwide. Subtracting those figures gives roughly 24 days between the interview benchmark and the hire benchmark, or about three and a half weeks. This is a comparison between two medians, not a measured median for interview to offer.

Ashby adds detail within that gap. Hired business candidates take about 14 days from first to last interview, while hired technical candidates take about 18 days from screen to final interview. Neither source publishes a general benchmark for the time from final interview to offer receipt.

Measure that final interval directly. Record the final interview date, offer approval date, offer sent date and acceptance date. This separates interviewer availability from compensation approval and candidate response time.

How can employers reduce time to hire?

Measure where candidates wait, assign one owner to each stage, and set clear review deadlines. Remove duplicate approvals before cutting useful evaluation. An ATS can keep records and messages together, but your team still needs prompt decisions. Track stage time separately so the real delay remains visible.

Which manufacturing jobs have the shortest hiring process?

Entry-level production, warehouse, assembly, and machine operator roles often move fastest because screening is shorter and plants may hire in batches. Skilled trades, engineering, quality, and plant management roles usually take longer because employers use technical interviews, certification checks, and more approvers. Compare stages within your own pipeline because timing varies by employer.

What are the best tools to reduce time to hire in 2026?

Use tools that address a measured delay. Scheduling software can reduce calendar exchanges. Candidate ranking can put stronger matches earlier in the review queue. Daily reminders can surface interviews and pending work before another day passes.

Curriculo ATS scores every candidate from 0 to 100 against your job, with a written AI summary of the fit.

The score uses the full parsed resume, job details and the applicant's submitted information. A per qualification checklist marks each requirement met, partial or missing and gives a written reason. The AI advises your team. A person makes the hiring decision, and candidates can request a human-only review.

You can rank every applicant on day one without waiting for a manual sort. Editing a job description in the app recalculates scores in the background, one candidate after another. API and MCP edits don't trigger recalculation.

The Calendar agent connects Google and Microsoft 365 calendars. It combines free and busy times, sends a self scheduling link, books a Google Meet or Microsoft Teams event and handles reschedule requests with a reason.

The Daily briefing sends one email per user each day at the chosen time and in the chosen language. It lists interviews through the end of tomorrow, then covers changes and pending actions. Each user can change the time or turn it off.

Starter is free with unlimited jobs, unlimited team members and 1,000 ranked candidates. New applicants beyond that limit remain stored but locked and unscored until you upgrade.

Pro costs $50 per month at the early bird price, 50 percent off $100, and includes 10,000 ranked candidates with no per-seat fees. Enterprise has custom pricing.

Frequently asked questions

What is the average time to hire in 2026?

The latest large system dataset puts the global median at 38 days and the US median at 35 days. SmartRecruiters published those benchmarks in 2025 using 89 million applications processed from September 2023 to August 2024. Treat them as comparison points because the report doesn't define the starting point for every stage in words.

What is the difference between time to hire and time to fill?

Time to hire starts when a candidate applies or first enters your pipeline and ends when that candidate accepts the offer. Time to fill starts when the job is approved and also ends at offer acceptance. It usually runs longer because it includes the work before candidates enter the pipeline, such as preparing and publishing the job.

Which industry has the longest time to hire?

Manufacturing has the longest time to hire among the five SmartRecruiters industry scorecards shown here, at a median 55 days. Retail has the shortest at 25 days. These figures describe the employer's industry rather than a specific role, and they measure time to hire rather than time to fill.

How do you calculate time to hire?

Count the calendar days from the date each hired candidate applied or first entered your pipeline to the date they accepted the offer. Then calculate the average or median across hires from the same reporting period. Keep the starting rule consistent. Use the time to hire calculator for your own figures.

What is a good time to hire for a startup?

Compare your result with similar companies and your own completed hires. Ashby's February 2026 startup report found that startups with fewer than 25 employees hired almost 30 percent faster when a recruiter was involved. Its chart shows averages of 42 days with a recruiter and 62 days without one, but your role mix and process may differ.
